Your privacy policy, terms and other policies

Set up and publish your own privacy policy, terms, refund policy and accessibility statement.

Who can do this: Owners and admins

Your supporters' information belongs to your organization, so your website needs your own privacy policy, not Occam's. Occam gives you four policies to set up, each starting from a plain-English template already filled in with your organization's name, address and EIN:

  • Privacy Policy: what you collect about supporters, why, who processes it, and how to reach you about it. Most organizations need this one first.
  • Terms of Use: the ground rules for your website and for giving through it.
  • Donation and Refund Policy: refunds on gifts, tickets and store purchases, monthly giving, and tax receipts.
  • Accessibility Statement: your commitment to an accessible site, and how people can tell you about a problem.

Set one up

  1. In the sidebar, under Admin, go to Policies and select Set up on the one you want.
  2. Read the template through and change anything that doesn't match what your organization actually does.
  3. Fill in every [BRACKETED] note. These mark facts only you can supply, such as your contact email, or sentences to keep or delete. The list under the text shows what's left, and Publish stays greyed out until it's empty.
  4. Select Preview to see it the way visitors will, then Publish, or Save draft to come back later.

The templates are a starting point, not legal advice. Before you publish, have someone qualified read them, such as a board member who is a lawyer or your state's nonprofit association.

Where they appear

Once published, a policy has its own page on your site at /policies/privacy, /policies/terms, /policies/refund-policy or /policies/accessibility. It's linked automatically from:

  • the footer of every page of your website, and
  • under your donation forms and event sign-up forms.

Drafts aren't visible to anyone outside your team.

Change or take one down

Open the policy from Policies, edit it and select Save and keep published. The "Last updated" date on the page changes when you do. To take it off your site, select Unpublish. You can publish it again at any time.

To start over, select Start again from the template. If you've added your mailing address or EIN in Settings since you began, the fresh copy includes them.

Good to know

  • Only owners and admins can edit or publish policies.
  • Formatting works as on your website: ## Heading for a heading, - at the start of a line for a list, **bold**, and [link text](https://…) for a link.
  • Occam's own policies, at occam.gives, cover how Occam handles your organization's data as your service provider. Your privacy policy template links to them.
