Give each colleague their own sign-in. They don't need an Occam account first: they join your team when they sign in with the address you invite.
Before you start
Choose a role for each person:
- Admin: full access except ownership transfer.
- Staff: view and manage data, but no settings or team management.
Each organization has one owner, set up by Occam, so you can't invite a second owner. To hand ownership to someone else, email info@occam.gives.
Send an invitation
- In the sidebar, go to Team.
- In Invite a Member, enter their Email address and choose a Role.
- Select Send Invitation.
You'll see Invitation emailed to their address. They appear under Invitations as Waiting for them to sign in, with the date the invitation is open until. Invitations stay open for 10 days.
What your colleague receives
Someone new to Occam gets two emails, so let them know to expect both:
- The invitation, with a Get started button. It opens the sign-in page with their address filled in.
- A sign-in link, which arrives after they select Email me a sign-in link. They open it on the same device and in the same browser, and they're in. See Sign in to Occam.
Someone who already uses Occam with another organization finds your invitation in their list of organizations, with Accept and Decline. They can open that list from Switch org at the bottom of the sidebar.
They must sign in with the exact address you invited.
Copy, resend or withdraw
Each open invitation under Invitations has three buttons:
- Copy link copies their sign-in link, so you can send it yourself by chat or email. It only opens the sign-in page with their address filled in, so it's safe to share.
- Resend emails the invitation again and starts a fresh 10 days. Use it to reopen an expired invitation.
- Withdraw cancels the invitation.
If an invitation says The email could not be sent. Resend, or copy the link., the invitation still stands. Only the email failed.
Limits
Your organization can send up to 30 invitations an hour, and up to 3 to any one address in 24 hours. Resends count toward both. Over the limit, you'll see Too many requests. Please try again shortly. The 3-per-address limit can take up to a day to clear.
Good to know
- To change the role on an open invitation, invite the same address again with the new role. The new invitation replaces the old one.
- To remove someone from the team, select the trash icon next to their name under Remove Member. They lose access right away. You can't remove yourself or the owner.
- To change the role of someone already on the team, remove them and invite them again with the new role.
- If your organization requires two-step verification, a new admin is asked to set up an authenticator app the first time they sign in. See Set up two-step verification.
