Record checks, cash, wire transfers and stock gifts on the donor's profile, so their giving history and your campaign totals include everything they've given.
Before you start
The donor has to be in Occam already. If they're new, add them first.
Record a gift
- In the sidebar, go to Donors and open the donor's profile.
- In the Donations card, select Record Gift.
- Fill in the details:
- Campaign: any of your campaigns, including closed ones.
- Amount ($).
- Payment Method: Check, Cash, Wire Transfer, Stock / Securities or Other.
- Date Received: today, unless you change it.
- Reference / Check # and Notes: optional. They're saved with the gift, but the donor's profile doesn't show them.
- Part of a recurring gift?: appears only if the donor has an offline monthly gift (see below). Choose it, or leave No — one-off gift.
- Select Record Gift.
The gift appears in the donor's Donations list and counts toward the campaign's total.
What happens next
- Occam emails the donor a receipt straight away, dated with the Date Received. There's no way to skip it.
- The gift shows on the campaign's public Recent Donors list with the donor's first name and the amount. There's no way to mark a recorded gift anonymous.
- Recorded gifts don't start automations.
Donors who give monthly offline
For a donor who sends a check every month or has a standing bank order, add the commitment once:
- On the donor's profile, find the Recurring Gifts card and select Add Recurring Gift.
- Choose the Campaign, enter the Amount ($) / month and the Giving since date.
- Select Add Recurring Gift.
It shows as Collected offline. Occam doesn't create the monthly gifts for you: record each payment with Record Gift and choose the commitment under Part of a recurring gift?. When the donor stops giving, select Stop. The gifts you've already recorded stay.
A donor can have one active offline commitment per campaign. To change its amount, stop it and add a new one.
Good to know
- You can't edit or delete a gift once it's recorded, so check the amount and date before you save.
- The form can't record an in-kind gift or put a gift in a fund.
- Every gift you record gets the same receipt, including Stock / Securities, which shows the dollar amount you entered.
- A receipt for a gift that's part of an offline monthly commitment says "(monthly)" and includes a Manage your recurring donation link. The page it opens lists only monthly gifts paid online, so the donor sees no active gifts there.
- To bring in past gifts without sending receipts, an admin can import your giving history instead.
