What receipts donors get

Which emails supporters receive for gifts, tickets, auction wins, memberships and orders, and when.

Occam emails supporters automatically when they give or pay, so you don't have to send receipts yourself. Here's what each person gets, and when. Every one is an ordinary email, with no PDF attached.

Donations

Kind of giftWhat they getWhen
Online gift by card or LinkDonation receipt from your organizationAs soon as the payment goes through
Online gift by bank account (ACH)The same receiptWhen the money clears, a few business days later. It's dated that day.
Monthly giftThe same receipt, marked (monthly), with a Manage your recurring donation linkAfter each monthly charge goes through
Gift you record with Record GiftThe same receipt, dated the Date ReceivedAs soon as you save it, whatever the payment method

If a bank payment fails, no receipt goes out. If the donor ticked Cover processing fee, the receipt shows the total they paid.

Events, auctions, memberships and pledges

  • Event tickets: an email headed Your ticket for the event, with their ticket code. For a free event it arrives straight away. For a paid ticket it arrives once the payment goes through, or once the money clears if they paid by bank account.
  • Auction, Buy It Now: an Auction receipt once the payment goes through.
  • Auction, winning bid: if the winner saved a card and it's charged when the auction closes, they get an Auction receipt straight away. Otherwise they get a You won email with a link to pay.
  • Memberships: a Membership receipt when someone joins, or when their bank payment clears. Renewals don't send one. See Renewals and expiry.
  • Pledges: a Pledge acknowledgment when someone makes a pledge on your pledge page. It confirms the amount and period they promised. It isn't a receipt for a payment.

What doesn't send anything

  • Cash and check gifts taken on an event's point-of-sale screen.
  • Store sales rung up as Cash, Check or Card (external) at the point of sale.
  • Gifts you import from another system.
  • Refunds. Occam doesn't tell the payer, so let them know yourself.

Record Gift has no option for in-kind (non-cash) gifts. If you record one as Other, the donor gets a standard donation receipt showing the amount you entered.

Good to know

  • Receipts still arrive for people who have unsubscribed from your emails. See Unsubscribes.
  • Occam can't resend a receipt. For what to tell a donor who can't find theirs, see "Where's my receipt?".
  • Your organization's name and EIN on each receipt come from your settings. See Get your receipts right.
