Close, archive or delete a campaign

Stop taking gifts, tidy up old campaigns, and when (not) to delete.

Who can do this: Anyone on your team

When a campaign is over, close it or archive it. Both take its page down and keep every gift in your records. Deleting is only for a campaign nothing has happened on yet.

Change a campaign's status

  1. In the sidebar, go to Campaigns and select Edit on the campaign's card.
  2. Set Status.
  3. Select Save Changes.

What each status means:

  • Active: the page is open and taking gifts, and the campaign is on your public page.
  • Draft: not ready yet. Visitors see Page not found.
  • Closed: finished. Visitors see Page not found and can't give.
  • Archived: put away. For visitors it's the same as Closed.

Whatever the status, the campaign stays in your Campaigns list with its total, and its gifts stay in your records. The one difference between Closed and Archived in the dashboard is the Top Campaigns list on your Analytics page, which leaves out archived and draft campaigns.

You can set a campaign back to Active at any time. Its page comes back at the same address.

What closing doesn't do

  • End Date doesn't close anything. It's for display only: the page keeps taking gifts after that date until you change Status.
  • Closing or archiving doesn't stop the monthly gifts made to the campaign. They keep being charged until each donor cancels. See Monthly giving.

Events

An event's Status is the same setting, whether you change it here or on the event's own edit page under Events. To call an event off, an owner or admin should use Cancel Event on the event's Attendees page instead. See Create an event.

Deleting a campaign

Delete Campaign is at the bottom of the campaign's edit page. Only owners and admins see it.

You can only delete a campaign that has nothing recorded against it: no donations, monthly gifts, pledges, fundraiser pages, tickets or bids. If it has any of these, the page tells you which, and there's no delete button. Archive it instead.

Deleting can't be undone. Deleting an event's or an auction's campaign deletes the event or the auction with it, including an auction's items.

Good to know

  • Created a campaign by mistake? If nobody has given to it, delete it. If somebody has, archive it.
  • The Imported Gifts campaign that an import creates is archived from the start, and can't be deleted while it holds gifts. See Import giving history.
