Every event gets a public page. Depending on how you set it up, people RSVP there for free, buy tickets (online, or at the door if you allow it), or just read about it and follow a link to sign up somewhere else. Events that take sign-ups get a guest list you can check in at the door. Money paid online goes straight to your payment account.
Before you start
- The Events tool has to be turned on. See Turn tools on and off.
- To take payment online, connect Stripe first. Free events, and tickets paid at the door, don't need it.
Create the event
- In the sidebar, go to Events and select New Event.
- Fill in the details:
- Event Title, Description and Location appear on the event page.
- Fundraising Goal (USD) is optional and isn't shown on the event page.
- Event Date & Time is required. The event page shows the date but not the time, so put the start time in the description too.
- Virtual URL (optional) is for online events. See below.
- Do people sign up here? Choose Yes, people sign up here or No sign-up here. See below.
- Capacity is the most places you'll give out, counted in tickets or people, not orders. Leave it blank for no limit.
- Price per ticket is what one place costs. 0 means free.
- Let people pay at the door appears once there's a price. See below.
- Select Create Event.
The event is live as soon as you create it. If you aren't ready for people to register, select Edit on its card, set Status to Draft and select Save Changes.
Signing up, paying, and paying at the door
- A free event (price 0) takes RSVPs: people say they're coming and how many they're bringing, with no payment step.
- A paid event sells tickets, paid online when people buy them.
- Let people pay at the door: tick this on a paid event and each person chooses Pay now, online or Pay at the door when they sign up. Their place is held either way. If you haven't connected a payment processor, everyone pays at the door. What each guest owes shows on the Check-In screen, where you record it as cash, check or card when they arrive. See Check guests in at the door.
- No sign-up here. The event page just tells people about it. Add a Sign-up link and Button text to send people to a form somewhere else, such as SignUpGenius or a Google Form. Leave the link blank for an event people simply turn up to. Nobody can register through Occam, so there's no guest list.
You can change any of these at any time under Edit. People who already signed up stay on the guest list, and anyone who chose to pay at the door still owes it.
Prices and free events
Each event has one ticket price, with no ticket types. To sell a member price and a general price, create a separate event for each. Each one then has its own capacity and guest list.
Set the price to 0 for a free event. People register with their name and email, with no payment step, and get their confirmation email straight away. Someone who chooses to pay at the door also gets their email straight away, saying how much to bring.
To give some buyers a discount, add a promo code once the event exists. See Promo codes.
The virtual link
Everyone who opens the event page sees the virtual link, not only people with a ticket, and it isn't in the ticket email. A YouTube or Vimeo link plays inside the page. Any other link, such as Zoom, shows a Join Now button. Don't use a link that only ticket holders should have.
Change an event
On the Events page, select Edit on the event's card. You can change everything above except the goal. To change the goal, or to add a picture to the top of the event page, go to Campaigns in the sidebar, find the event and select Edit.
Status decides whether the event page is up. With Active, it's up and taking registrations. With Draft, Closed or Archived, visitors get a page-not-found error, including buyers who open the View your ticket link in their ticket email.
Ticket sales don't stop on their own when the event date passes. To stop sales but keep the page up, set Capacity to the number of tickets sold, which the event's card shows. The page then shows Sold Out.
Delete Event, under Danger Zone, permanently deletes the event. It only works on an event that has no tickets or gifts recorded against it. Otherwise Occam refuses and nothing is deleted. Only owners and admins can use it. To call an event off, an owner or admin should use Cancel Event on the event's Attendees page instead.
Good to know
Active events with a date still to come are listed under Upcoming events on your public page.
