Built-in reports

LYBUNT, SYBUNT, retention, monthly revenue and the other ready-made reports.

Who can do this: Anyone on your team

The Reports page has six ready-made reports for the questions development teams ask most: who hasn't given yet this year, how many donors came back, and how giving is trending. There's nothing to set up. Run one whenever you need it.

Run a report

  1. In the sidebar, go to Reports.
  2. Under Pre-built reports, find the report you want and select Run report.
  3. The results appear in a table on the report's card. To run it again with the latest gifts, select Refresh.
  4. To download the results, select Export CSV. The button appears once a report has results.

Column headings are short labels, such as lastYearGiving, and amounts are in dollars without a dollar sign.

The reports

  • LYBUNT ("last year but unfortunately not this year"): donors who gave last year and haven't given yet this year. Shows what each one gave last year and their total giving of all time.
  • SYBUNT ("some year but unfortunately not this year"): donors who gave in any earlier year and haven't given yet this year. It includes everyone on the LYBUNT list. Shows the last year each donor gave, and their total giving.
  • Donor Retention: two rows, one comparing the year before last with last year, and one comparing last year with this year so far. Each shows how many donors gave in the first year, how many of them gave again in the second, that number as a percentage, and how many gave in the second year but not the first. That last number includes past donors who came back, not only first-time donors.
  • Monthly Revenue: total donations for each month, from January of last year to today. Months with no gifts are left out. The online and total columns always show the same figure, and both include gifts recorded by hand and imported gifts.
  • Pledge Status: every pledge, newest first, with the donor, the campaign, the amount pledged, its status (ACTIVE, FULFILLED or LAPSED) and its length in months. It doesn't show how much has been paid so far.
  • Volunteer Hours: every volunteer opportunity, newest first, with its date, how many volunteers were confirmed or checked in, and the total hours logged.

What the reports count

  • Calendar years. "Last year" and "this year" always run January to December, even if your organization uses a different fiscal year.
  • Donations only. Online gifts, monthly gifts, membership dues, gifts recorded by hand and imported gifts all count. Ticket sales, store orders and auction payments don't.
  • What you kept. Refunds are taken off, fully refunded gifts don't count, and bank payments that haven't cleared yet aren't included.
  • The date a gift was entered. For a check or cash gift you recorded by hand, that's the day you recorded it, not the Date Received you typed. Imported gifts count on their gift date, but one dated the 1st of a month appears under the previous month in Monthly Revenue.

To see why these totals can differ from the Overview, Stripe or your 990 report, see Why numbers differ.

Negative numbers in CSV files

In any CSV you export from Occam, a value that starts with a minus sign, plus sign, equals sign or @ gets an apostrophe in front, so a negative number appears as '-25. Spreadsheet programs treat values that start with those characters as formulas and run them, and the apostrophe stops a harmful formula hidden in, say, a donor's name from running on your computer. Delete the apostrophe if you need to do math with that cell.

Other reports on this page

The same page has a builder for your own reports (New report), which can use your fiscal year, the Form 990 revenue report under Compliance & Accounting, and Scheduled Reports, which emails reports on a schedule.
