A segment is a saved list of the donors who match rules you choose, such as everyone who has given $500 or more, or people who bought a ticket but never gave. Use one as the audience for an email or text, export it, or filter your donor list with it.
Build a segment
- In the sidebar, go to Segments and select New Segment.
- Give it a Name, and a Description (optional) if it will help your team.
- Under Filter, select + Condition. Choose a field, how to compare it, and the value. Add more conditions the same way.
- Choose the Report columns you want to see (see below).
- Check the Preview, then select Create segment.
Each segment needs its own name. If the name is taken, you'll see A segment with this name already exists.
All or any
At the top of the filter, Match all of the following means a donor must meet every condition. Switch it to any to include donors who meet at least one.
To mix the two, select + Group. A group has its own all/any setting. For example, match all of: Lifetime total given ($) is at least 1000, and a group that matches any of Pipeline stage is Cultivation or Has a recurring gift is true.
A filter with no conditions matches every donor.
The fields
The field list shows each field with its group in front, such as Giving: Last gift date. Type in the list to search it.
| Group | Fields |
|---|---|
| Donor | First name, Last name, Email, Phone, Pipeline stage, Email opt-in, SMS opt-in, In a household, Donor since |
| Giving | Lifetime total given ($), Number of gifts, First gift date, Last gift date, Has a recurring gift |
| Events | Attended any event, Checked in to an event, Attended event |
| Volunteering | Has volunteered, Total volunteer hours, Signup status |
| Membership | Membership tier, Membership status, Membership expires within (days) |
| Auction | Has placed a bid, Total bid amount ($) |
| Custom | Your organization's custom donor fields |
A few behave in ways worth knowing:
- Giving fields count successful gifts only, after refunds. A donor who has never given has no value, so "Lifetime total given ($) is less than 100" leaves them out. Use is not set to find people who have never given.
- Has a recurring gift means a monthly gift that's active now. Cancelled gifts, and gifts whose last payment failed, don't count.
- Attended any event means they have a ticket. Use Checked in to an event for people who actually came.
- is must match the text exactly. contains and starts with ignore capital letters.
- is not, doesn't contain and is none of also include donors with no value at all.
- Dates follow your organization's time zone, and is between includes both end dates.
Preview and report columns
The Preview updates as you build and shows how many donors match. It lists the first 200 of them, 10 to a page.
Report columns are the columns in the preview and in the spreadsheet you get from the segment's Export button. Select a column to add or remove it. Every field above can be a column.
Dynamic or frozen
A new segment is Dynamic: each time you use it, Occam works out who matches right then. Freeze list on the segment's page keeps today's list as it is, which suits a one-time mailing. Refresh updates a frozen list, and Make dynamic turns it back. Saving any change in the builder, even a new name, makes a frozen segment dynamic again.
Good to know
- The donor count shown next to a segment is from when it was last saved or frozen. View donors shows who matches now.
- Only owners and admins can delete a segment, from the trash icon on the Segments list.
Deleting a segment also deletes every automation that's triggered by it, and saved reports limited to it go back to covering all donors. The confirmation doesn't mention this. Check Used by on the segment's page before you delete.
